Invite team members with Organization viewer seats

On a Core Enterprise or Growth Custom plan, you can invite an unlimited number of people to your organization on Organization viewer seats. Read on to find out how Organization viewers can contribute to your team.

Adding someone as an Organization viewer can be a great option for a team member, agency, consultant, or data analyst who needs to oversee the creation of forms and be able to view their results or share them, without having access to edit them or set up new integrations.

The main features of the Organization viewer are the following:

- Organization viewer seats don’t count toward the total number of seats included in your plan

- Organization viewer seats are assigned at the organization level

- Organization viewers can join multiple workspaces

- Organization viewers can only be invited to workspaces with Can view permissions

- Organization viewers cannot create new workspaces

How to invite someone as an Organization viewer?

To invite someone as an Organization viewer:

1. Open up your account settings and go to Org members.

Now you’ll see the members in your organization. The counter on the right-hand side shows you how many Editor and how many Organization viewer seats have been taken already in your organization.

2. Click Invite members or Invite viewers.

3. Type the email address of the person you want to invite, make sure to select the Viewer radio button, and click Invite.

If the person you’re trying to invite is already a member of your organization, you’ll see an error message like the one below.

If you change someone’s role from Viewer to Editor or Admin, they’ll take a seat in your organization as an Editor.

If you want to assign the organization viewer role to someone in your team with a different role, you’ll see this warning message:

Once you hit Invite, the person you just invited will receive an email like the one below:

When they click Join Organization, they’ll be taken to their workspaces.

Here they can click the + button to discover and join existing workspaces, but people on an Organization viewer seat cannot create new workspaces, so make sure to invite them to the workspaces you want them to oversee.

Note! You can only invite people on an Organization viewer seat with Can view permissions to a workspace.

People on an Organization viewer seat can view existing Brand kits, but they cannot edit them, and the + Create brand kit button will also be grayed out - a tooltip will be displayed about requesting Admin permissions.

What’s the difference between the Organization viewer and the Can view workspace role?

The Organization viewer seat and the Can view workspace role both grant view only access to users without the ability to create or edit forms.

The key differences between the Organization viewer and the Workspace viewer are the following:
